Office Administrator/Travel Coordinator – In Office Position

Gaming Innovation Group is seeking a highly organized and detail-oriented Office administrator/Travel Coordinator to provide administrative support to our WPS manager.

In this role, you will be responsible for overseeing all office activities, coordinating travel arrangements, and assisting with various administrative tasks.

Responsibilities:

  • Coordinate and book travel arrangements(individual and group), including accommodation and transportation and any visa requirements
  • Manage any possible travel claims with our insurer
  • Handle incoming and outgoing correspondence, including emails, letters, and phone calls
  • Assist with preparing reports, presentations, and other business documents
  • Manage expense reports and process invoices for reimbursement
  • Assist with organizing and coordinating company events and conferences/workshops
  • Perform general administrative tasks
  • Verifying group reservation requests for accuracy against meeting/conference profiles.
  • Identifying the most suitable and high-quality services with reasonable rates.
  • Setting up external meetings (notary, contractors etc)

Additional day-to-day administrative duties include:

  • Supporting the Workplace Service Manager in achieving operational excellence in our offices(offer admin support in H&S platform)
  • Maintaining an effective administration system, coordinating day-to-day maintenance and addressing requests from various departments/staff members.
  • Serving as a point of contact for service providers/subcontractors such as cleaning, lunch, electricity, water, and storage.
  • Handling induction training tasks, including signing forms, access cards, and parking.
  • Assisting HR with onboarding/offboarding procedures for new joiners.
  • Managing petty cash, Jira ticketing system, monitoring cleaning and supplies, ordering fruit, lunch, water, taxi bookings,ordering stationary, couriers, ID tags, parking, and office access, key forms.
  • Arranging any works/repairs needed for the office

Requirements

  • Position is based in our Marbella office, 5 days a week.
  • Excellent organization and communication skills.
  • Ability to work both independently and collaboratively in a team.
  • Strong attention to detail and ability to maintain confidentiality.
  • Ability to prioritize tasks and meet deadlines in a fast paced environment.
